6 EASY WAYS TO REDUCE THE TEXT ON PRESENTATIONS

Today you are going to learn
how to reduce text on presentations.

Reduce text on presentation

We live in the age of immediacy. Fast consumption. The age of the visual. Reading is becoming less and less popular.

That is why a PowerPoint presentation cannot have paragraphs the size of the slide itself. That is why it is so important to reduce the text in PowerPoint presentations.

And since I’m talking about immediacy, let’s get to the point.

I bring you 5 tricks that will make shortening the content of your PowerPoint presentations a simple task:

#1

KEEP ONLY THE ESSENTIAL

No one likes mazes of words. When the text of your slide is too long the first thing you should do is read it. Not once, but several times. You will realize for yourself that:

-There are sentences that are left over.
-There are words that are repeated too many times.
-There are repeated concepts saying the same thing.

All that must be deleted. More is not always better.

And even less when we speak about PowerPoint slide texts.
So read, analyze and delete.

Keep the essential.

#2

DIVIDE THE CONTENT

Have you ever heard the phrase “divide and conquer”?

Well, it applies here too.

If you see that the text of a slide is too long, it is better to reorder it strategically in several slides.

And by strategically, I mean keeping a sense.

Do not cut in the middle of a paragraph, much less in the middle of a sentence.

This way it will be more visually attractive and it will be easier to retain the audience’s attention with your presentation.

#3

USE IMAGES, DIAGRAMS AND GRAPHS

This trick requires more imagination but it is necessary to have a quality presentation. And what better way to reduce the text of our presentations than using much more visual elements than words?

For example, if the content in question that we want to summarize is schematizable, the best thing to do would be to make a diagram.

Or if we have numerical data or percentages, a graph is the best option. Instead of having numbers lost among so many words.

And regarding images… Images can never be missing in your PowerPoint presentation!

#4

USE THE SPEAKER'S NOTES

As we have already mentioned, to reduce the text in PowerPoint presentations it is vital to keep the essentials and have visual content.

That is why all the content that supports the speaker does not have to go in the text of the slide but in the notes section below each slide.

In this way, we will be removing content that is not necessary for the target audience to read, but it is important to better understand the presentation.

Remember that the presentation should be projected on separate screens so that the audience can see the slides without the notes.

#5

AVOID BULLET POINTS

In PowerPoint, bullet points are extremely frequent.

That’s why you need to cut all the extra text on your bullet points first.

And then transform these bullet points into a design that conveys the same information.

Remember, all the information that you remove from your bullet points can be put in your speaker’s notes.

Depending on the information you had in the bullet points, you can choose different layout options for your slides.

Here you have an example to learn from it!

#6

PREPARE YOUR PRESENTATION

This is the best tip for shortening the text of a presentation.

If the speaker has prepared the presentation well, it is not necessary to have huge paragraphs to support it.

If the speaker has in his head everything he has to say in reference to each point, the slide will only serve as a guide to keep a defined order and not skip any point during the presentation.

In this way, we can dispense with a large part of the text and simply stay with schematic content and a short introduction to each point if necessary.

There will also be more room for images to make our presentation look great.
